1. Who we are
Judah & Zoé Cleaning Services Limited, trading as Judah & Zoé Premium Cleaning Services and JZ Cleaning (referred to here as we, us or our), is a commercial cleaning contractor serving Limerick and the surrounding region. We are the data controller responsible for the personal data described in this policy.

2. What this policy covers
This policy explains how we handle personal data collected through this website, through enquiries and quotations, and in the course of providing cleaning services to our clients. It does not apply to third party websites that we link to, which operate their own policies.
3. The personal data we collect
Depending on how you interact with us, we may collect the following categories of personal data.
Enquiry and quotation data: your name, email address, phone number, business name, the service you are interested in, details about your premises, and anything else you choose to include in your message.
Client and contract data: contact details for site managers and billing contacts, site access and key holding arrangements, agreed service schedules, and correspondence relating to the contract.
Supplier and recruitment data: contact details and background information provided when you apply to work with us or to supply goods and services to us.
Technical and usage data: IP address, browser and device type, the pages you visit and the site you arrived from. This is collected through analytics only where you consent to it.
4. How we collect it
We collect most of this information directly from you, when you complete the contact or quotation form on this website, email or telephone us, or engage us as a client. Some information is collected automatically through cookies and similar technologies, as described in our Cookie Policy. Occasionally we receive your details from a third party, for example where a client nominates you as the site contact for their premises.
5. Why we use it, and our legal basis
Under the General Data Protection Regulation we must have a lawful basis for each use of your personal data. Our bases are set out below.
To respond to enquiries and prepare quotations: our legitimate interests in responding to potential clients, and taking steps at your request before entering into a contract.
To deliver, schedule and manage cleaning services: performance of our contract with you.
To invoice, collect payment and maintain accounting records: performance of our contract, and compliance with our legal obligations.
To handle complaints, incidents and insurance claims: our legitimate interests in defending claims, and compliance with our legal obligations.
To understand how the website is used and improve it: your consent, given through the cookie banner.
To send occasional service updates or marketing to business contacts: our legitimate interests in promoting our services. Every message includes an option to opt out.
6. Cookies and analytics
This website uses cookies. Non essential cookies, including analytics cookies, are only set where you give consent, and you can withdraw that consent at any time. Full details of the cookies we use are set out in our Cookie Policy.
7. Who we share it with
We do not sell personal data. We share it only where necessary, with the following categories of recipient.
Our website platform and hosting provider, which stores the site and any form submissions.
Our email, telephony and document storage providers.
Our analytics provider, where you have consented to analytics cookies.
Our accountants, insurers, auditors and professional advisers.
Our cleaning operatives and supervisors, limited to the site information they need to carry out the work.
Public authorities, regulators or law enforcement, where we are required to do so by law.
Where we use a service provider to process personal data on our behalf, we put a written data processing agreement in place requiring them to keep it secure and to use it only on our instructions.
8. Transfers outside the European Economic Area
Some of our service providers process personal data outside the European Economic Area. Where that happens, we rely on an adequacy decision of the European Commission, or on Standard Contractual Clauses approved by the Commission, together with any additional safeguards required to protect your data.
9. How long we keep it
We keep personal data only for as long as we need it for the purpose it was collected, and to meet our legal obligations.
Enquiries that do not lead to a contract: up to 12 months from our last contact with you.
Client contract and service records: for the duration of the contract and for 7 years afterwards, to meet tax and limitation period requirements.
Accounting and financial records: 6 years, as required under the Companies Act 2014 and by Revenue.
Recruitment records for unsuccessful applicants: up to 12 months, unless you ask us to keep them longer.
Analytics data: in line with the retention setting configured in our analytics account.
10. How we keep it secure
We use appropriate technical and organisational measures to protect personal data, including encrypted transmission of website form data, access controls so that staff can only see the information they need, confidentiality obligations in our employment contracts, and secure handling of keys, alarm codes and site access information. No system can be guaranteed completely secure, but we review our measures regularly.
11. Your rights
Under data protection law you have the following rights in relation to your personal data.
The right to be informed about how we use your data, which this policy is intended to provide.
The right of access to a copy of the personal data we hold about you.
The right to have inaccurate or incomplete data corrected.
The right to erasure of your data in certain circumstances.
The right to restrict our processing of your data in certain circumstances.
The right to data portability, where processing is based on consent or contract and is carried out by automated means.
The right to object to processing based on our legitimate interests, and an absolute right to object to direct marketing.
The right to withdraw consent at any time, where we rely on consent.

12. Making a complaint
If you are unhappy with how we have handled your personal data, please contact us first at info@jzcleaning.ie so that we can try to put it right. You also have the right to lodge a complaint with the Irish supervisory authority, the Data Protection Commission, at www.dataprotection.ie.
13. Children
Our services and this website are directed at businesses and organisations, not at children. We do not knowingly collect personal data relating to children through this website. Where we clean childcare or education premises, we do so under a contract with the operator and do not collect personal data about the children attending.
14. Changes to this policy
We may update this policy from time to time to reflect changes in our practices or in the law. The date at the top of this page shows when it was last revised. Where changes are significant, we will take reasonable steps to bring them to your attention.
